How spaces and versioning work

Workflows and components are stored in the cloud, together with the data you have uploaded. In Knime, everything is organized in spaces, and you can version your work to keep track of changes.

What is a space

A space is a container that stores workflows, components, and data. Spaces are owned by a team.

Space access within the team

Team admins manage who can access a space, and what they can do with it, from the Manage space access panel.

Team admins can adjust the access level of team members to a space:

  • Team members who Can View can browse the content of a space, run workflows and create deployments. They cannot create workflows within the space, edit existing workflows, rename or delete the space.
  • Team members who Can Edit can create new workflows in the space, edit existing workflows, rename the space and edit its description as well as delete the space and all its content.

Team admins always have Can Edit access to a team's space. This can't be changed.

Team admins can also remove a team member's access entirely: that member no longer sees the space listed among the team's spaces.

See how to Manage access to a space. For a summary of space permissions see Roles and permissions.

Space access outside the team

A team's space can be shared with the rest of the organization by publishing it to the private gallery, making it visible to users who are not part of the team.

Versioning

Versioning happens at item level, and helps you keep track of changes. You can create and restore versions for each workflow and component for which you have edit rights. Your workflow or component is saved as a draft until a version is created.

Once a version of the item is created, new changes to the item show up as draft.

When you create versions of the items, you can then go back to a specific saved version and replace the current draft with it.

Version labels

Labels assigned to a workflow version or draft can be viewed in the version history panel. If a user creates a version of a draft that has labels assigned, the labels are automatically carried over to the new version. If a draft is edited, any applied labels will be reset, meaning all previously assigned labels will be removed.

Click on a label to see a description of the label.

Labels are assigned to versions or drafts by the Knime Hub administrator, for example in the context of Workflow Validation.

Key concepts

  • Space — A container that stores workflows, components, and data. Every space is owned by a team.
  • Item — A workflow, a component, or a piece of data stored in a space. Versioning applies to workflows and components.
  • Access level — What a team member can do in a space: Can Edit or Can View. Team admins always have Can Edit.
  • Gallery — The shared area where a published space becomes visible to users outside the team. They can browse and copy its workflows and components, and copy the whole space.
  • Component — A reusable node that bundles part of a workflow. Components in a published space are available to every user in the workflow editor.
  • Draft — The current, editable state of a workflow or component, including all changes since the last version.
  • Version — A named snapshot of a workflow or component that you can return to. Deployments only run from a version, not from the draft.
